The Membership, Lands and Estates Officer provides administrative and reception services to Munsee-Delaware Nation staff and community members, managing all requests related to lands, membership, and estate matters on behalf of the Nation.

THE ROLE
About This Position
This position serves as a central point of contact for Band members navigating government processes around land transfers, membership registration, and estate settlement. The officer works in close coordination with ISC/CIRNAC and internal departments to ensure accurate records and responsive service.
RESPONSIBILITIES
Administration
Administrative Support
Schedule and arrange internal meetings and events, maintain an accurate filing system, and manage document controls and retention.
Reception & Communications
Operate a multi-line telephone system, manage inbound inquiries, and direct guests and visitors in a courteous and professional manner.
Database Management
Maintain up-to-date databases and manage positive Nation relationships.
Mail & Courier
Control all incoming and outgoing mail and courier services.
Office Supplies
Monitor and maintain office supplies, review requests, obtain approval, and order items as required.
RESPONSIBILITIES
Lands
Land Transfers
Work with ISC/CIRNAC to record land transfer changes and prepare transfer documents for members and Council.
Indian Land Registry
Maintain an up-to-date copy of the local Indian land registry.
Cemetery Mapping
Maintain an up-to-date copy of the local cemetery mapping of MDN burial sites.
Survey Maps
Maintain a filing system of Canada Lands Survey Register (CLSR) maps and provide copies to members and Council as requested.
Lands Research
Research lands when required or requested and assist MDN in land planning activities.
RESPONSIBILITIES
Membership
ISC/CIRNAC Reporting
Report all membership changes with supporting documentation to ISC/CIRNAC.
Status Cards
Issue, photograph, and prepare Certificates of Indian Status cards and related statistics and reports.
Civil Documents
Assist members in obtaining divorce, birth, and/or death certificates.
Membership Records
Keep accurate and up-to-date records of all Band members including births, deaths, reinstatements, and additions or deletions.
Membership Applications
Receive and process membership applications, maintain records of submissions, and ensure required documentation is submitted to ISC/CIRNAC.
Residency & Ancestry
Issue residency letters for MDN members and research native ancestry when requested.
Band Council Resolutions
Prepare necessary documentation and BCRs for membership transfer requests for Council review and decision.
Oaths
Administer oaths when required by members or Council.
RESPONSIBILITIES
Estates
Estate Settlement
Work with executors/administrators and ISC to settle MDN member estates and obtain all relevant documentation.
Status Card Retrieval
Obtain the deceased member’s Certificate of Indian Status card.
Will Preparation
Provide aid to MDN members in drawing up a personal will.
Executor Guidance
Explain duties and responsibilities to potential personal representatives and provide assistance to the administrator of the estate.
Departmental Administrator
When a Departmental Administrator is appointed, ensure all necessary documentation is provided to meet legal obligations toward heirs.
